Job Description

The Admin Officer is responsible for managing daily administrative tasks at Hamdard Public School (HPS), ensuring compliance with Board Office realted procedures and smooth coordination with internal and external stakeholders. The role requires strong organizational skills and prior experience in a school or educational institution, with a clear understanding of school education systems and academic administrative processes.

The position also involves using Canva for basic graphic designing to create notices, event materials, and other content aligned with HPS branding. 

This position demands attention to detail, multitasking ability, and the capability to work collaboratively with academic staff, administration, students, parents, and board authorities, contributing positively to the school’s professional environment.


Responsibilities
 

  • Manage all office administration activities, including document management, record keeping, and filing systems to ensure easy retrieval and compliance.
  • Schedule and coordinate meetings, and appointments efficiently while maintaining calendars and reminders.
  • Serve as the primary point of contact for students and parents interactions, providing excellent customer service and support regarding examination and admission related queries.
  • Prepare and maintain accurate reports, letters, and other correspondence using MS Office tools and graphic design software such as Canva.
  • Support examination-related tasks by understanding BSEK's requirements and ensuring all documentation is complete and submitted timely.
  • Handle incoming and outgoing communications, including emails and phone calls, with professionalism and clarity.
  • Assist in organizing events and presentations by designing promotional materials and visual content using graphic design skills.
  • Maintain confidentiality of sensitive information while adhering to HPS policies and data protection standards.
  • Collaborate with various departments to support administrative requirements and enhance interdepartmental communication.
  • Ensure all office equipment and software are used effectively and liaise with IT support when technical issues arise.
