Job Description

Al Riaz Chemicals is seeking a dedicated Assistant to Director to support the director in managing daily operations and contributing to the successful implementation of departmental goals. The ideal candidate possesses strong communication and coordination skills along with the ability to plan and organize meetings, events, and travel arrangements efficiently. This role requires maintaining confidentiality and demonstrating discretion while handling sensitive information. With at least two years of relevant experience, the Assistant to Director will work closely with the director to enhance productivity and ensure compliance with regulations and company policies. The Assistant to Director plays a pivotal role in facilitating effective communication within the department and across the organization. This position helps in developing and implementing strategic plans to support the director's vision, managing schedules, and resolving issues proactively. While this role does not include team management responsibilities, it demands excellent organizational abilities and the capacity to manage complex calendars and coordinate various administrative activities essential for the smooth functioning of the directors office.
Responsibilities
 

  • Perform a variety of administrative and coordination tasks as assigned by the director to support daily operations.
  • Assist in the development, implementation, and monitoring of departmental plans, goals, and objectives to align with company strategies.
  • Coordinate and supervise the day-to-day activities of the directors office, ensuring seamless workflow and timely completion of tasks.
  • Plan, organize, and coordinate business travel arrangements including booking flights, accommodations, and transportation.
  • Prepare, schedule, and coordinate meetings, events, and conferences, ensuring all logistical aspects are handled efficiently.
  • Maintain strict confidentiality and discretion when handling sensitive information and communications on behalf of the director.
  • Facilitate effective communication between the director and internal or external stakeholders by managing correspondence and meeting agendas.
  • Monitor compliance with company policies and regulatory requirements within the department and report any discrepancies to the director.
  • Identify potential operational issues and proactively propose solutions to enhance productivity and resolve problems promptly.
  • Maintain accurate records and files related to departmental activities, meetings, and projects to ensure easy access and reference.
  • Support the director in preparing reports, presentations, and other documentation as needed for meetings and strategic discussions.
  • Assist in coordinating cross-functional activities that involve collaboration between the directors office and other departments.
