We are looking for a proactive and detail-oriented Import Documentation Officer to join our team. In this role, you will be responsible for managing and processing all import-related documentation while ensuring compliance with international shipping regulations. You will collaborate closely with shippers, carriers, customers, and internal teams to facilitate smooth import operations. Success in this position requires strong organizational skills, effective communication, and familiarity with shipping software.
Key Responsibilities
- Collaborate with the customer service team to receive advance shipment plans and ensure carrier deadlines are met.
- Follow up with importers and exporters to collect necessary information to fulfill carrier requirements.
- Submit shipping instructions to carriers and co-loaders via online portals or email.
- Request Master Bill of Lading (MBL) drafts from shipping carriers and co-loaders.
- Send pre-alerts and manifests to overseas agents within designated time frames.
- Verify the accuracy of House Bill of Lading (HBL) and MBL details in accordance with shipper and regulatory standards.
- Track Verified Gross Mass (VGM) filings using the carrier’s online portal.
- Coordinate with courier services for invoice collection and ensure timely payments (TCS for inland, DHL for overseas).
- Monitor document dispatch for local customers and overseas agents, providing timely email notifications.
- Work closely with team members on invoicing, applicable charges, and creation or updates of HBLs as requested by shippers.
- Follow up on outstanding payments as directed by management.
- Ensure timely processing of vessel-to-vessel transfer files.
- Utilize Climax software proficiently for import-related documentation tasks.
- Maintain excellent verbal and written communication to effectively liaise with all stakeholders.
Required Qualifications
- Previous experience in an import documentation role or a similar position is preferred.
- Strong organizational and time management skills with the ability to work under pressure and meet tight deadlines.
- Bachelor’s degree or equivalent qualification in a related field.
- Proficiency in Climax software is preferred.
Preferred Qualifications and Benefits
- This is a full-time position based in Karachi. Candidates should be able to reliably commute or plan to relocate before starting work.
- The starting salary for this role is Rs40,000 per month.
