Hamdard University Main Campus is seeking an Examination Officer to manage and oversee examination operations with accuracy and integrity. The role involves coordinating exam schedules, handling examination data, ensuring compliance with academic policies, and maintaining strict confidentiality.

The ideal candidate should have a Bachelor’s/Master’s degree with at least 2 years of relevant experience, strong organizational and data management skills, and the ability to work effectively under pressure while coordinating with multiple departments.

Responsibilities

  • Coordinate and manage the scheduling of examinations in alignment with academic calendars and institutional policies.
  • Administer examination processes including preparation, distribution, and collection of examination papers and materials.
  • Maintain comprehensive and accurate records of examination data, attendance, and grading outcomes using data entry software and document management systems.
  • Ensure compliance with all relevant examination rules and institutional regulations to uphold the integrity of the examination process.
  • Safeguard confidential examination information and maintain a high level of data security and integrity at all times.
  • Collaborate with academic departments to resolve scheduling conflicts, clarify examination requirements, and support examination conduct.
  • Manage and update examination databases, spreadsheets, and documentation with precision utilizing MS Excel and other relevant software.
  • Facilitate communication between examination bodies, faculty, and students to provide clear guidance and timely updates.
  • Monitor examination logistics including the timely delivery of examination materials and adherence to security protocols during examinations.
  • Prepare reports and summaries related to examination results, attendance, and procedural compliance for management review.
  • Implement efficient workflow procedures to streamline the examination administration process within the institution.
  • Handle inquiries related to examinations with professionalism and promptly address any issues or discrepancies.
  • Maintain strict confidentiality and exercise discretion when dealing with sensitive academic records and information.
  • Work collaboratively under pressure to meet stringent deadlines while maintaining accuracy and attention to detail.
  • Continuously update knowledge of examination administration best practices and regulatory requirements to ensure institutional compliance.
