Personal Executive Assistant to Global Entrepreneur
About the Role
This is a rare opportunity to become the right hand to a successful entrepreneur who operates a global portfolio spanning retail, real estate, yachts, and private equity. The role requires high intelligence, extreme organisation, and absolute discretion. The entrepreneur leads a globally mobile lifestyle and needs a trusted executor to manage priorities, operations, and personal matters. This is not a standard 9–5 role; it requires flexibility, initiative, and the ability to anticipate needs before being asked.
Responsibilities
- Act as the gatekeeper and first line of defence — managing inbound emails, scheduling, WhatsApp, and filtering requests.
- Coordinate global travel logistics: flights, hotels, transfers, restaurants, medical appointments, and testing across multiple time zones.
- Manage property administration: insurance, utilities, repairs, contracts, viewings, and liaising with property managers.
- Support “Plan B” initiatives: second passports, international residencies, and family structuring projects.
- Oversee a mix of business and personal admin (approx. 60% business, 40% personal).
- Discreetly assist with family office operations: gifts, calendars, appointments, household tasks.
Specific Projects (First 6–12 Months)
- Take ownership of property admin.
- Implement an improved task/project management system across the entrepreneur’s businesses and personal operations.
Qualifications
- Top-tier problem solver: anticipates needs, works proactively, and executes without waiting for instruction.
- Highly educated (Bachelor’s minimum; Master’s/PhD a plus) or proven equivalent experience.
- Proven experience managing complex administrative or operational responsibilities.
- Exceptional attention to detail, organisational ability, and accountability.
- Excellent English communication skills (written and verbal).
- Loyal, discreet and capable of handling confidential matters with maturity.
- Comfortable working in a fast-paced, international environment across cultures and time zones.
Working Style & Expectations
- Communication: Prefers short, succinct updates via WhatsApp and voice notes.
- Progress updates: Daily priority check-in and a shared to-do list. Highlight any roadblocks quickly.
- Initiative: 80% initiative, 20% consultation. Use common sense and propose solutions rather than ask repeatedly.
- Frustrations: Slowness, repetition, poor formatting, unclear answers, or waiting for instructions.
Soft Skills & Personality Fit
- Values: smart, discreet, loyal, emotionally balanced, anticipates needs.
- Avoids: overly chatty, needy for praise, can’t multitask, too corporate/robotic.
- Requires high emotional intelligence — occasionally interacting with staff and family members, filtering stress and information appropriately.
Lifestyle & Practicalities
- Flexibility for evenings/weekends is essential (not a standard 9–5).
- No regular travel required at this stage.
- Occasional personal errands: doctors, birthdays, restaurants, gifts, and home admin.
Pay range and compensation package
- Remote (Pakistan applicants preferred to start): €1,000 – €3,000/month (depending on experience).
- Bonus/Perks: Discretionary performance bonus.
Growth & Longevity
- The role may evolve into Chief of Staff or Family Office Manager.
- Long-term success will be measured by: Making the entrepreneur feel lighter and more productive.
- Freeing up time by solving problems independently.
- Demonstrating loyalty, judgment, and consistent high output.
