Agha Institutes of Technologies is seeking a professional Receptionist with excellent customer service skills and a friendly demeanor. The ideal candidate oversees the front desk operations, ensuring smooth communication both in person and over the phone. This role requires proficiency in appointment scheduling, managing visitor coordination, and handling telephone systems effectively. The Receptionist must maintain an organized reception area and support administrative tasks such as data entry and Microsoft Office applications. With at least one year of experience, the candidate will demonstrate strong multitasking abilities and time management skills. Knowledge of managing social media accounts is also required to support the institution's communication efforts. This position does not involve team management but requires collaboration with various departments to enhance the overall visitor experience.

Responsibilities

  • Greet and welcome visitors, providing prompt and courteous assistance to enhance their experience at the institute.
  • Answer incoming telephone calls professionally and direct them to appropriate departments or personnel.
  • Schedule and coordinate appointments efficiently using dedicated software or systems.
  • Manage the reception desk to ensure cleanliness, organization, and availability of necessary materials.
  • Maintain logs for visitor entries and ensure security protocols are followed when granting access to the premises.
  • Perform data entry tasks accurately, updating records and databases as needed.
  • Assist with managing the companys social media presence by posting updates, monitoring messages, and supporting online engagement activities.
  • Operate multi-line telephone systems and other office equipment to facilitate communication within the organization.
  • Coordinate with various departments to ensure timely communication and resolve visitor inquiries or issues.
  • Apply effective time management skills to handle multiple tasks simultaneously without compromising quality or professionalism.
  • Prepare and distribute daily, weekly, or monthly reports related to front desk activities and visitor statistics.
  • Maintain confidentiality of sensitive information and handle all communications with discretion.
  • Demonstrate excellent verbal and written communication skills when interacting with clients, vendors, and internal team members.
  • Follow established safety and emergency procedures to ensure the well-being of visitors and staff.
