Job Overview

We are looking for a highly organized and detail-oriented Admin & Accounts Executive who can manage day-to-day administrative operations, core accounting functions, and budgeting responsibilities. This role requires strong ownership, financial accuracy, and cost control mindset.

Key Responsibilities

Office Operations & Administration

  • General Management: Oversee daily office operations, including the procurement of supplies, vendor coordination, and general maintenance of utilities and facilities.
  • HR Coordination: Maintain accurate employee attendance and leave records, assisting HR with documentation, record-keeping, and internal communication.
  • Scheduling: Manage office correspondence and coordinate internal meetings, schedules, and executive documentation.

Financial Management & Accounting

  • Daily Ledger Maintenance: Maintain precise daily financial records for all payments, receipts, and operational expenses.
  • Invoicing & Reporting: Prepare and manage company invoices, bills, and expense reports while performing regular bank reconciliations and cash flow tracking.
  • Financial Closing: Assist in monthly and quarterly closing processes, preparing financial summaries and reporting packages for leadership review.
  • Audit Readiness: Ensure proper documentation for all financial transactions and coordinate with external accountants or auditors as required.

Budgeting & Strategic Cost Control

  • Budget Preparation: Develop and manage monthly and quarterly operational budgets to ensure financial stability.
  • Variance Analysis: Proactively track actual spending against budgets, highlighting variances and providing recommendations for optimization.
  • Financial Discipline: Implement cost-control measures to eliminate waste and forecast future financial requirements to support management planning.

Compliance & Internal Controls

  • Policy Enforcement: Ensure all administrative and financial activities strictly comply with company policies and established procedures.
  • Confidentiality: Maintain the highest level of confidentiality regarding sensitive company data and financial records.
  • Regulatory Support: Support the management of tax documentation and ensure all regulatory requirements are met in a timely manner.

Skills & Requirements

- Bachelor’s degree in Accounting, Finance, or relevant field
- 2–4 years of relevant experience in admin + accounts + budgeting role
- Strong knowledge of accounting principles and budgeting processes
- Proficiency in MS Excel (must for budgeting & reporting)
- High attention to detail and organizational skills
- Strong communication and coordination ability
