Chughtai Healthcare seeks a diligent and organized Admin Officer to oversee and coordinate administrative operations within the organization. The ideal candidate will possess strong skills in office management, document management, communication, and record keeping to ensure smooth and efficient departmental functions. This role requires managing a team of 30 persons to maintain operational excellence, handle patient case follow-ups, manage schedules, and ensure compliance with regulatory standards. The Admin Officer will play a critical role in maintaining accurate data records of patient history and staff rosters, managing emergency response duties, and supporting overall vendor and customer service management efforts. The Admin Officer reports directly to the Administrative Manager and represents the manager when necessary, ensuring excellent communication channels within the healthcare facility. This role demands a proactive approach to problem-solving, particularly in resolving shift-related challenges and administrative queries. Strong analytical and strategic thinking capabilities are essential for tracking activities and improving service delivery. The candidate must demonstrate result-oriented behavior with sharp quantitative skills, ensuring timely facilitation and clear communication between internal teams and external stakeholders to uphold the reputation and operational standards of Chughtai Healthcare.
Responsibilities
 

  • Maintain and update monthly staff rosters ensuring all shifts and duties are accurately scheduled.
  • Follow up on patient panel cases, including updating relevant files and maintaining records of patient history with attention to detail.
  • Coordinate and track patient treatment progress through timely communication with staff and appropriate documentation.
  • Manage data entries efficiently and perform follow-ups to ensure accuracy and completeness of records.
  • Troubleshoot and resolve administrative and operational issues related to staff shifts, schedules, and other work-related queries.
  • Oversee the management of emergency cases by promptly deploying staff to relevant locations and ensuring the availability of necessary resources.
  • Organize and manage staff duties, travel routes, and vehicle logistics to optimize operational efficiency.
  • Supervise, guide, and manage a team of 30 personnel to foster a cooperative and productive work environment.
  • Communicate daily activities and critical information regularly to the Administrative Manager and represent the manager when required.
  • Act as a liaison between internal departments and external customers to facilitate effective communication and problem resolution.
  • Maintain compliance with healthcare regulations and organizational policies to ensure adherence to legal and ethical standards.
  • Manage vendor relationships, handle procurement, and support customer service initiatives to meet organizational needs.
  • Utilize Microsoft Office Suite and other tools proficiently for documentation, reporting, and communication tasks.
  • Apply sharp quantitative and analytical skills to monitor administrative performance and recommend strategic improvements.
  • Exercise result-oriented decision-making and strategic thinking to support long-term operational goals and enhance service delivery.
