Job Title: Executive Secretary to Chancellor Department: Chancellor’s Secretariat Reports To: Chancellor & Head of Resource & Marketing

Position Summary:

The Executive Secretary to the Chancellor provides high-level administrative, operational, and strategic support to the Chancellor and senior leadership of the medical university. The role ensures efficient coordination of executive functions, smooth communication, and effective day-to-day operations while maintaining confidentiality and institutional standards. This position is required for Malir Medical University and is part of a project by Together Company.

Key Responsibilities:

  • Executive & Administrative Support: Manage the Chancellor’s calendar, appointments, meetings, travel, and official correspondence. Prepare reports, presentations, briefing notes, and other institutional documents.
  • Coordination & Communication: Act as liaison between the Chancellor and internal/external stakeholders. Coordinate meetings, agendas, minutes, follow-ups, and communicate executive directives as required.
  • Project & Event Support: Assist in planning institutional projects, events, and ceremonies. Monitor timelines, deliverables, and support execution of strategic initiatives.
  • Confidentiality & Professionalism: Handle sensitive information with discretion. Exercise sound judgment and maintain professionalism in all executive interactions.
  • Compliance & Institutional Support: Assist with documentation for audits, inspections, and accreditation processes; support adherence to medical education and healthcare regulations.

Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Healthcare Administration, Public Administration, or related field (Master’s preferred).
  • 5+ years of experience in executive or senior administrative support, preferably in higher education or healthcare institutions.
  • Proven experience working with national and multinational organizations.
