SUMMARY **
We are seeking an organized, detail-oriented, and technically savvy IT Procurement & Asset Management Specialist to join our growing Procurement team. This critical role will support the full lifecycle of IT procurement, including the scoping, sourcing, purchasing, inventory tracking, and renewal of hardware, software, subscriptions, and services. The successful candidate will work closely with customers and internal stakeholders—such as Engineering, Account Management, Administration, and Project Management teams—and external vendors to ensure timely, cost-effective, and accurate delivery of IT assets and services.
This is an opportunity to help mature procurement operations and asset lifecycle practices within a collaborative and fast-paced IT services environment.
KEY RESPONSIBILITIES
Procurement Execution & Vendor Coordination
Support end-to-end procurement activities: receive requests, gather scope, validate needs, source quotes, build RFP/RFQ/SOW’s, issue purchase orders, manage timelines, and follow through to fulfillment and delivery.
Collaborate with internal teams (Account Management, Engineers, Project Managers, Administration) to properly define requirements and ensure procurement aligns with project timelines and customer expectations as well as summarize technical specifications into scope of work statements that are understandable by client decision makers with varied technical acumen.
Manage the procurement of complex IT-related projects, including the implementation and/or migration of: Microsoft/Office365, Azure, network/server/PC refresh projects, etc.
Liaise with vendors to obtain quotes, product details, lead times, and order statuses. Escalate, resolve issues, and manage expectations for backorders or delivery delays.
Track and manage approvals, ensuring purchases comply with internal guidelines and budgetary constraints.
Renewals & Lifecycle Management
Track all recurring IT services (subscriptions, SaaS licenses, support agreements, certificates, warranties, etc.) to ensure timely renewal or cancellation.
Maintain a central calendar and/or system of reminders for key renewal dates and prevent unplanned expirations.
Work with stakeholders to confirm ongoing needs or changes before initiating renewals or sourcing alternatives.
Process Improvement & Documentation
Help develop and maintain standardized procurement forms, intake templates, and workflows that reduce ambiguity and increase efficiency.
Maximize existing as well as recommend process enhancements and tools (Excel, asset management systems, procurement software) to improve the accuracy, speed, and visibility of procurement and asset tracking.
Become SME for existing tools.
Reporting & Analysis
Assist in compiling reports on purchasing trends, asset usage, vendor performance, and cost savings.
Help support audits or compliance checks by maintaining accurate procurement records and documentation.
IT Asset & Inventory Management
Help maintain accurate and up-to-date inventory records of IT hardware, software, accessories, and licenses.
Help support receiving, and distribution of equipment across customers or projects.
Help monitor stock levels to prevent shortages or over-purchasing; proactively recommend restocks or asset reallocations based on trends, efficiency, and usage.
Qualifications
Education: Associate or Bachelor’s degree in Business, Supply Chain, IT, and/or related field preferred.
Experience:
2–4 years of experience in procurement, supply chain, or IT asset management, preferably in a technology or professional services environment.
Experience working with cross-functional teams (especially technical teams) and handling procurement of IT-related goods and services.
Technical Knowledge:
Basic understanding of IT components and services (e.g., laptops, servers, networking gear, software licensing, SaaS models).
Familiarity with lifecycle principles for IT assets.
Skills:

Excellent listening, interpersonal, written, and oral communication skills.
Highly self-motivated and directed.
Ability to effectively prioritize and execute tasks while under pressure.

Work shift is 7a to 4p Pacific Standard Time. Periodic overtime is expected to meet deadlines.
Comfortable managing vendor relationships and internal communications across departments.
Preferred Qualifications
Experience with procurement platforms (e.g., Kaseya or similar).
Familiarity with procurement KPIs, purchasing policies, and software contract terms.
Exposure to subscription/license renewal tracking and vendor management practices.
Prior experience supporting an IT Services, MSP, or systems integrator organization.
