The Blooms Spa is seeking a professional and personable Receptionist to serve as the first point of contact for clients and visitors. This role requires excellent communication skills in English and a strong background in customer service, appointment scheduling, and client management. The Receptionist is responsible for managing the front desk operations, including appointment booking, calendar management, visitor check-in and check-out, and ensuring that all client interactions are handled with care and professionalism. In addition to direct client interaction, the Receptionist will oversee data entry and document management to maintain accurate records that support the smooth running of daily operations. The successful candidate will have at least three years of relevant experience and will lead a team of two, assigning tasks and coordinating workflow to maintain high service standards. Effective time management and the ability to process customer feedback constructively are essential to improve client satisfaction. This role requires familiarity with Microsoft Office and an ability to multitask in a dynamic environment while maintaining a welcoming atmosphere for all spa visitors.
Responsibilities
 

  • Greet and welcome clients and visitors promptly and courteously upon arrival at The Blooms Spa.
  • Manage appointment scheduling by booking, rescheduling, and confirming client appointments to optimize daily operations.
  • Supervise and assign tasks to a team of two, ensuring efficient front desk coverage and high service quality.
  • Maintain and manage the spas calendar to coordinate appointments, meetings, and special events seamlessly.
  • Handle visitor check-in and check-out procedures, verifying client information and ensuring compliance with spa policies.
  • Perform accurate data entry and document management to maintain client records and administrative files.
  • Utilize Microsoft Office tools to prepare reports, correspondence, and manage communication effectively.
  • Collect and manage customer feedback, addressing client concerns and escalating issues appropriately to enhance service satisfaction.
  • Communicate clearly and professionally with clients to provide information about spa services, pricing, and promotions.
  • Coordinate with other departments to ensure client needs are met and any operational issues are resolved promptly.
  • Monitor and report on appointment trends and client flow to support continuous improvement in service delivery.
  • Maintain a clean, organized, and welcoming reception area that reflects the spas brand and values.
  • Manage time effectively to balance multiple tasks while delivering personalized and attentive client service.
