Operations – Air / Sea Freight Forwarding

Job Purpose

The Cargo Operations Executive is responsible for managing the day-to-day operational activities of air export and import shipments, ensuring timely execution, regulatory compliance, and high standards of customer service. The role requires close coordination with airlines, customers, customs authorities, transport providers, warehouses, and overseas agents to ensure smooth cargo movement from origin to destination.

Key Responsibilities

  • Handle end-to-end operations for air export and import shipments.
  • Coordinate bookings with airlines and secure cargo space based on customer requirements.
  • Prepare, verify, and process shipping documentation, including MAWB, HAWB, manifests, commercial invoices, packing lists, and other regulatory documents.
  • Liaise with customs brokers and relevant authorities to ensure timely customs clearance.
  • Coordinate with transporters, warehouses, and ground handling agents for cargo movement and delivery.
  • Monitor shipment milestones and proactively update customers on shipment status.
  • Resolve operational issues, delays, offloads, or discrepancies in coordination with all stakeholders.
  • Ensure compliance with airline regulations, IATA standards, customs requirements, and company SOPs.
  • Verify operational costs and ensure accurate billing instructions are provided to the finance department.
  • Maintain complete shipment records and ensure all files are properly documented.
  • Coordinate with overseas agents for routing, shipment updates, and destination handling.
  • Support the sales team by providing operational solutions and service commitments for customers.
  • Monitor service performance and recommend improvements to enhance operational efficiency.
  • Ensure cargo is handled safely and securely while complying with applicable safety and security regulations.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, or a related discipline.
  • IATA Cargo Introductory or Cargo Operations certification will be an advantage.
  • 2–5 years of experience in freight forwarding or airline cargo operations.

Skills & Competencies

  • Strong knowledge of international air freight operations.
  • Familiarity with airline booking procedures and cargo documentation.
  • Understanding of customs procedures and import/export regulations.
  • Knowledge of IATA cargo rules and dangerous goods handling (preferred).
  • Excellent communication and coordination skills.
  • Strong organizational and time management abilities.
  • Ability to work under pressure and meet strict shipment deadlines.
  • High attention to detail and problem-solving capability.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and freight forwarding software/ERP systems.
  • Strong customer service orientation.
