Tingle Linges is seeking a diligent and organized Office Secretary to efficiently manage daily administrative tasks and support the smooth operation of the office. The ideal candidate has at least two years of experience and excels in calendar management, appointment scheduling, and communication coordination. This role involves managing email correspondence and organizing meetings to ensure seamless workflow and timely information exchange. The Office Secretary serves as a key liaison within the company, facilitating communication between departments and external contacts with professionalism and accuracy. The successful candidate demonstrates confidence and boldness in their role, maintaining polished and effective communication channels across all platforms. While this position does not require team management, it demands a proactive approach to administrative support and the ability to prioritize multiple tasks effectively. This role is essential to sustaining a productive office environment at Tingle Linges, contributing to the organizations overall success through exceptional clerical and coordination skills.
Responsibilities
 

  • Manage executive and team calendars by scheduling and confirming appointments and meetings.
  • Coordinate communication between departments, clients, and external stakeholders to ensure timely information flow.
  • Handle incoming and outgoing email correspondence, prioritizing and responding on behalf of management when appropriate.
  • Organize logistics for meetings including booking rooms, preparing agendas, and distributing meeting materials.
  • Maintain organized filing systems both electronically and physically for easy retrieval and reference of important documents.
  • Perform data entry and maintain records accurately to support business operations.
  • Provide general office support such as preparing letters, reports, and presentations as assigned.
  • Monitor office supplies and place orders to ensure availability of necessary materials.
  • Assist with travel arrangements and itineraries when required.
  • Demonstrate confidence and professionalism in all interactions, representing the company in a positive manner.
  • Prioritize multiple administrative duties to meet deadlines and contribute to efficient office operations.
  • Maintain confidentiality of sensitive information and handle all communications with discretion.
