Position Summary
The Real Estate Project Coordinator provides end-to-end coordination and executive-level support for a US-based real estate operation, working remotely from Pakistan on US business hours. This role blends transaction and project coordination — tracking listings, closings, timelines, and vendor/lender communication — with direct executive support, including calendar management, scheduling, and administrative ownership for US-based principals. Candidates must bring genuine US real estate industry experience, not just general administrative or virtual-assistant experience, since this role requires fluency in real estate terminology, transaction workflows, and the tools the US real estate industry runs on day to day.
Essential Responsibilities
● Coordinate real estate transactions and projects end-to-end — tracking listings, offers, contracts, inspection and closing timelines, and outstanding action items.
● Liaise directly with lenders, title companies, escrow officers, agents, and other transaction stakeholders to keep deals moving and flag delays proactively.
● Maintain and update CRM and transaction management systems (e.g., MLS-adjacent tools, Dotloop, SkySlope, Follow Up Boss, or similar) with accurate, current records.
● Manage executive calendars, scheduling, and travel arrangements for US-based principals, prioritizing competing demands with sound judgment.
● Prepare and organize documentation, reports, and client-facing materials, ensuring accuracy and a polished, professional standard.
● Draft and manage correspondence with clients, agents, and partners on behalf of leadership, maintaining a professional US-facing tone.
● Track project and portfolio status across multiple concurrent listings, deals, or properties, and proactively surface risks or bottlenecks.
● Support day-to-day administrative operations of the business — expense tracking, vendor coordination, and general office/operations support.
● Maintain strict confidentiality and discretion given direct access to executive schedules, client information, and deal-sensitive data.
Required Qualifications
● 3–4 years of professional experience within the US real estate industry — brokerage support, transaction coordination, property management, or real estate investment operations.
● Working familiarity with US real estate transaction workflows and terminology (listings, escrow, closing, contingencies, contracts) gained through direct industry experience.
● Excellent written and verbal communication skills in the English language, with the ability to represent the business professionally to US-based clients and partners.
● Strong organizational skills with the proven ability to manage multiple concurrent projects, deadlines, and stakeholders without dropping details.
● Proficiency with common real estate and productivity tools (CRM/transaction management platforms, Google Workspace or Microsoft Office, scheduling tools).
● Availability to work US business hours (EST/CST/PST as required by the role).
● Bachelor's degree preferred, or equivalent practical experience in real estate operations.
Preferred Qualifications
● Direct experience supporting a real estate broker, investor, or principal in an executive assistant or right-hand capacity.
● Familiarity with specific platforms such as Dotloop, SkySlope, Follow Up Boss, kvCORE, Propstream, or similar.
● Experience with light bookkeeping, expense tracking, or coordination with a client's finance/accounting function.
● Prior remote work experience supporting a US-based team.
