As Executive Assistant to the CEO, your job is to keep the CEO's office running smoothly. You'll manage a busy calendar, arrange meetings and travel, and handle the CEO's correspondence. A lot of the role comes down to communication. You're the main point of contact for anyone inside or outside the company who needs to reach the CEO, and you keep their inbox in order by prioritizing what matters, replying where you can, and following up so nothing slips through. We're looking for someone organized, proactive, and trustworthy with confidential information, who can handle several priorities at once and stay composed when things get busy. Solid Microsoft Office skills are essential, and you'll also look after one team member

Responsibilities

  • Proper Spoken English Fluency
  • Manage and maintain the CEO’s calendar including scheduling and organizing meetings, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, including agendas, presentations, and documentation.
  • Draft, review, and manage official correspondence and communications on behalf of the CEO.
  • Filter, organize, and prioritize incoming emails and other communications, ensuring timely responses or appropriate delegation.
  • Use Microsoft Outlook and other email management tools to schedule emails, set reminders, and follow up on pending actions.
  • Maintain discretion and confidentiality when handling sensitive corporate information and executive communications.
  • Prioritize tasks efficiently to manage competing deadlines and respond promptly to urgent requests.
  • Organize and maintain filing systems and records to ensure easy accessibility and document security.
  • Lead and oversee a small team by assigning tasks and monitoring performance to enhance support efficiency.
  • Collaborate with other departments and external partners to coordinate activities and support organizational goals.
  • Prepare reports, presentations, and other documents using Microsoft Office suite with accuracy and professionalism.
  • Assist in travel planning and expense management for the CEO and associated personnel.
  • Continuously improve administrative processes to optimize workflow and communication management within the executive office.
