Sanqam Global is seeking a proactive and detail-oriented Virtual Assistant to support a variety of client needs across different industries. This role involves providing high-quality administrative assistance remotely, supporting tasks such as calendar management, email management, customer service, scheduling, and document preparation. The Virtual Assistant will play a crucial role in ensuring smooth operations by prioritizing tasks effectively and maintaining clear communication with clients. Candidates should possess strong basic English reading and writing skills, as well as the ability to adapt to different client demands, including social media management, front desk support, and task coordination. This position requires a minimum of two years of relevant experience, strong organizational skills, and familiarity with CRM software and Agile Project Management methodologies. The successful candidate will work independently without managing a team, contributing to client satisfaction through timely and efficient task completion.
Responsibilities
 

  • Manage daily calendars by scheduling appointments, meetings, and events accurately according to client priorities.
  • Handle email correspondence by organizing inboxes, responding to routine inquiries, and escalating urgent messages as needed.
  • Provide professional customer service by addressing client questions, resolving basic issues, and maintaining a positive tone in all communications.
  • Organize and prioritize daily tasks to ensure deadlines are met and client requirements are fulfilled promptly.
  • Prepare and format documents including reports, presentations, and correspondence to meet client standards.
  • Support social media management by assisting with content scheduling, engagement tracking, and basic page updates where required.
  • Maintain and update customer relationship management (CRM) software to ensure accurate and up-to-date client information.
  • Assist in front desk virtual reception tasks such as answering calls, directing inquiries, and managing online visitor interactions.
  • Adapt to varying client roles and industries by quickly learning specific job requirements and applying skills appropriately.
  • Communicate effectively with clients to understand instructions clearly and provide regular updates on task progress.
  • Use Agile Project Management tools to track project milestones, collaborate with clients, and contribute to smooth project execution.
  • Ensure confidentiality and security of all client information by following best practices in data protection and privacy.
  • Identify and report any potential issues or delays promptly to clients to facilitate timely resolutions.
