Position Overview
We are currently seeking an experienced and responsible Assistant Manager – Administration to support the smooth running of office, facility, vendor, and administrative operations. The ideal candidate should have a Bachelor’s degree and a minimum of 10 years of relevant administrative experience, preferably in a manufacturing, FMCG, food & beverage, retail, or multi-location business environment.
The role requires strong supervision skills, discipline, follow-up ability, vendor handling, documentation control, and the ability to ensure that daily administrative matters are handled efficiently and professionally.
Key Responsibilities
- Manage day-to-day office administration and ensure smooth workplace operations.
- Supervise admin staff, drivers, security, housekeeping, maintenance, and support teams.
- Oversee office maintenance, repairs, cleanliness, utilities, and general facility management.
- Coordinate with vendors, contractors, service providers, landlords, and maintenance teams.
- Manage company assets, furniture, fixtures, equipment, keys, access cards, and office supplies.
- Ensure proper record keeping of administrative expenses, vendor bills, agreements, and service records.
- Support procurement of office supplies, stationery, pantry items, maintenance material, and admin-related services.
- Monitor security arrangements, visitor management, staff movement, and workplace discipline.
- Coordinate vehicle maintenance, fuel records, driver schedules, and transport requirements where applicable.
- Assist in implementation of company policies related to administration, safety, housekeeping, and workplace conduct.
- Ensure timely payment and tracking of utilities, rent, maintenance charges, and service contracts.
- Support events, meetings, staff arrangements, travel bookings, accommodation, and logistics when required.
- Conduct regular inspections of office, warehouse, showroom, or facility areas to ensure standards are maintained.
- Maintain strong follow-up on pending administrative issues and report progress to senior management.
- Handle urgent admin matters calmly and ensure practical solutions are implemented on time.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Commerce, Management, or a related field.
- Minimum 10 years of experience in administration, office management, facilities, or general operations.
- Experience in manufacturing, FMCG, food & beverage, retail, distribution, or multi-site operations will be preferred.
- Strong vendor management, negotiation, supervision, and follow-up skills.
- Good knowledge of office maintenance, utilities, contracts, security, housekeeping, and asset management.
- Ability to manage staff firmly but professionally.
- Strong documentation, reporting, and coordination skills.
- Good communication skills in English and Urdu.
- Proficiency in MS Office, email communication, and basic administrative reporting.
