HR Construction is seeking a diligent and professional Personal Assistant to support the Managing Director (M.D.) at its Head Office in Hyderabad. This role involves assisting the M.D. with daily office work, communication, coordination with various teams including site and plant staff, maintaining schedules, managing confidential information, and ensuring timely follow-ups on assigned tasks. The ideal candidate demonstrates discipline, punctuality, strong organizational skills, and the ability to handle confidential assignments with discretion. Although the role does not involve managing a team, it requires proactive communication and coordination across multiple departments to ensure smooth operations. The Personal Assistant serves as a critical link between the M.D. and the company's daily business activities. Responsibilities include managing calendars, scheduling meetings, preparing documents such as notes and minutes, and supporting travel and administrative arrangements. The position demands proficiency with MS Office, email, and communication platforms such as WhatsApp. Strong follow-up capabilities and the ability to maintain confidentiality in sensitive matters are essential. Candidates with prior experience in personal or office assistance roles, who are disciplined and honest, will be highly valued. The position is full-time and based at HR Construction's Hyderabad Head Office.
Responsibilities
 

  • Assist the Managing Director in daily official tasks and ensure timely completion of assigned duties.
  • Manage and organize meetings, schedules, reminders, and appointments efficiently to optimize time management.
  • Coordinate effectively with office staff, construction sites, plants, suppliers, and visitors to facilitate smooth communication and operations.
  • Prepare, maintain, and organize important documents, notes, minutes of meetings, and records.
  • Follow up persistently on pending tasks and provide regular progress updates to the Managing Director.
  • Handle incoming calls, messages, and official communication as directed, ensuring professionalism and accuracy.
  • Maintain strict confidentiality concerning company affairs and sensitive management information.
  • Support travel arrangements including bookings, itinerary preparation, and logistical planning for the Managing Director.
  • Organize meeting venues, refreshments, and required materials to ensure successful administrative arrangements.
  • Track and document instructions given by the Managing Director and monitor completion status to guarantee accountability.
  • Utilize MS Office applications and communication tools such as email and WhatsApp efficiently to perform daily tasks.
  • Demonstrate punctuality, discipline, and integrity in all professional responsibilities.
