Role Overview:
The Operations Executive – Sea Department is responsible for managing and executing all sea freight operational tasks, including coordination with shipping lines, clients, and internal departments. This role involves overseeing the end-to-end shipment process, ensuring accurate documentation, timely execution, and compliance with international logistics procedures. The executive plays a key role in ensuring customer satisfaction through smooth cargo movement, timely updates, and effective problem-solving.
Key Responsibilities:
Handle end-to-end sea freight operations for both imports and exports.
Coordinate with customers, shipping lines, overseas agents, customs brokers, and transporters.
Ensure accurate and timely submission of shipping instructions, Bill of Lading drafts, and final documents.
Monitor and update shipment status regularly and inform clients accordingly.
Manage documentation, including invoices, packing lists, shipping bills, and delivery orders.
Track container movement, ensure timely clearance, and follow up on delivery and empty container returns.
Resolve operational issues and ensure smooth shipment flow.
Maintain updated records of shipments and share regular operational reports with the line manager.
Liaise with the Accounts Department for billing and payment follow-ups.
Ensure compliance with company policies, local regulations, and international shipping practices.
Assist in rate negotiations and quotations for clients when required.
Required Skills and Qualifications:
Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field.
Minimum 2 to 3 years of hands-on experience in sea freight operations.
Strong knowledge of international shipping procedures and Incoterms.
Proficient in MS Office (especially Excel) and logistics/ERP software.
Excellent coordination, time management, and communication skills.
Ability to work independently and handle multiple shipments under pressure.
Problem-solving mindset with strong attention to detail.
