Job Description

Faisal Movers is seeking a detail-oriented and proactive Admin Officer to oversee and streamline daily office administrative functions. This role is crucial in maintaining efficient office operations, managing documentation, and supporting the management team. The successful candidate will lead a team of five, ensuring seamless coordination between departments while upholding a professional environment. The Admin Officer will manage a broad range of administrative duties including vendor communication, budget tracking, and maintaining employee records. The position requires strong organizational skills, a high degree of confidentiality, and the ability to work effectively under pressure to meet tight deadlines. Proficiency in Microsoft Excel and Word is essential, as well as effective communication and problem-solving abilities to support day-to-day office activities and operational tasks.
Responsibilities
 

  • Manage daily office administrative activities to ensure smooth operations.
  • Maintain accurate and up-to-date employee records, attendance logs, and official documentation.
  • Handle all office correspondence, reports, and filing systems systematically.
  • Coordinate closely with operations and management teams to support business objectives.
  • Ensure proper office discipline, promote a professional work environment, and uphold company policies.
  • Monitor office supplies proactively and manage administrative requirements to avoid shortages.
  • Prepare comprehensive daily and monthly administrative reports detailing office performance and operational metrics.
  • Assist management with operational matters, staff coordination, and administrative support as needed.
  • Maintain strict confidentiality of all company records, documents, and employee information.
  • Supervise and lead a team of five administrative staff, providing guidance, support, and performance management.
  • Oversee vendor management activities, including maintaining relations and negotiating contracts.
  • Track and monitor relevant budgets related to office expenses and procurement.
  • Develop and implement office procedures and controls to improve office productivity and compliance.
  • Coordinate logistics for meetings, events, and company functions as required.
