Equipster Machines seeks a diligent and organized Office Assistant to join its team in Karāchi.

 

This full-time, on-site role involves managing daily administrative tasks that ensure smooth and efficient office operations.

 

The ideal candidate excels at multitasking and has a strong attention to detail to handle various duties such as data entry, document preparation, email management, and maintaining records.

 

A high level of proficiency with Microsoft Word, Excel, and general office equipment is essential to support executives and facilitate seamless communication within the company. The Office Assistant will play a key role in delivering exceptional customer service and assisting with clerical support activities that contribute to an orderly working environment.

 

This position demands an energetic individual who demonstrates excellent communication and phone etiquette. The successful candidate will thrive in a fast-paced environment, balancing multiple responsibilities effectively.  This role does not involve managing a team; however, it requires a proactive approach and problem-solving capabilities to independently carry out assigned tasks and contribute to the overall efficiency of the office.


Responsibilities
 

  • Manage daily administrative tasks including data entry, document preparation, and email correspondence to ensure smooth office workflow.
  • Handle incoming and outgoing communications, demonstrates professional phone etiquette, and respond to inquiries promptly.
  • Maintain and organize physical and electronic records with accuracy and confidentiality, ensuring easy retrieval and updating.
  • Prepare documents and reports using Microsoft Word and Excel, applying appropriate formatting and data management techniques.
  • Operate standard office equipment effectively, including printers, scanners, fax machines, and telecommunication tools.
  • Provide assistance to executives and other departments as needed by scheduling appointments, managing calendars, and coordinating meetings.
  • Support customer service activities by greeting visitors, addressing client needs, and providing timely information or directing inquiries appropriately.
  • Implement organizational procedures to manage multiple tasks in a fast-paced environment while maintaining high-quality standards.
  • Ensure supply and inventory management for office materials and equipment, placing orders when necessary to avoid disruptions.
  • Collaborate with team members to identify and resolve operational issues, exhibiting strong problem-solving skills and attention to detail.
  • Maintain confidentiality and security of sensitive company information and records at all times.
  • Continuously update skills related to clerical work, office tools, and administrative processes to improve work efficiency.
