The Procurement Officer shall be responsible for managing procurement activities across assigned business units, ensuring timely sourcing, cost optimization, quality control, vendor management, and uninterrupted operational supply. The role requires strong negotiation capability, bulk purchasing experience, and effective supplier relationship management.
KEY RESPONSIBILITIES
Procurement & Purchasing
- Manage end-to-end procurement activities for assigned business units.Source and procure food, beverages, café supplies, operational materials, equipment, and consumables.Execute bulk purchasing strategies to achieve cost efficiency and operational continuity.Ensure timely purchasing to avoid stock shortages and operational disruption.Compare quotations and obtain competitive pricing.Vendor Management
- Develop and maintain strong relationships with suppliers and vendors.
- Identify and onboard reliable vendors and alternate suppliers.
- Conduct vendor evaluations based on pricing, quality, service, and delivery performance.
- Manage vendor negotiations to secure favorable commercial terms.
- Resolve supplier-related issues and maintain procurement standards.
Cost Control & Negotiation
- Demonstrate strong bargaining and negotiation skills.
- Monitor market rates and pricing trends.
- Implement cost-saving initiatives without compromising quality.
- Maintain procurement budgets and purchase controls.
Inventory & Coordination
- Coordinate with operations teams to forecast purchasing requirements.
- Monitor inventory levels and replenish stock accordingly.
- Ensure proper documentation and purchase records.
- Support inventory planning and stock optimization.
Compliance & Reporting
- Prepare procurement reports and purchase summaries.
- Maintain records of quotations, purchase orders, invoices, and vendor details.
- Ensure procurement activities comply with company procedures and approval matrix.
REQUIRED QUALIFICATIONS
Education
Minimum Intermediate (Higher Secondary School Certificate).
Additional certification in Procurement, Supply Chain, Business Administration, or related field shall be preferred.
Experience
- Minimum 5–6 years of proven experience in Procurement / Purchasing.
- Mandatory experience in Dine-In Restaurant and/or Coffee Café procurement.
- Strong experience in bulk purchasing and high-volume procurement operations.
- Proven experience in vendor management and supplier negotiations.
- Experience handling multiple vendors and operational purchasing cycles.

WORKING HOURS & OPERATIONAL REQUIREMENTS
- Duty Hours: 10 Hours Per Day
- Employees shall remain available throughout assigned working hours.
- Candidate shall demonstrate flexibility to manage procurement requirements based on operational needs.
- Timely market visits, purchasing completion, and coordination with operations teams shall be mandatory.
OTHER REQUIREMENTS
- Candidate must possess own motorcycle/bike for procurement and market visits.
- Valid driving license shall be preferred.
- Willingness to travel for procurement activities.
- Ability to manage multiple procurement requests simultaneously.
