Lakhani Builders is seeking a highly experienced Office Administrator to take full ownership of the daily administrative and operational functions within our office. This role demands a strong background in managing office systems, processes, and staff to ensure smooth, efficient operations. The ideal candidate will have at least ten years of proven experience in administrative or office management roles, with the ability to independently run office operations, supporting senior management proactively. The candidate will be responsible for scheduling coordination, document and record management, vendor relations, and facilities oversight, applying structured thinking and leadership skills. Experience in the Pakistan Armed Forces or real estate or construction sectors is highly advantageous, reflecting the discipline, organized approach, and industry knowledge sought. The Office Administrator will lead and manage a team of ten staff members, fostering a professional and composed environment while driving improvements in operational workflows. The role includes advanced use of Microsoft Office and scheduling software, as well as proficiency with AI tools such as ChatGPT or Claude to enhance communication and reporting efficiency. Strong communication skills in both English and Urdu are essential. This position requires exceptional organizational skills to manage multiple responsibilities effectively and a commanding presence to maintain professionalism and reliability at all times.
Responsibilities
 

  • Oversee all day-to-day administrative and operational functions of the office, taking complete ownership to ensure efficient workflows.
  • Manage and continuously improve all office systems and processes by identifying gaps and implementing proactive solutions.
  • Provide comprehensive support to senior management with scheduling, coordination, and administrative tasks, anticipating needs ahead of schedule.
  • Coordinate all internal meetings by preparing agendas, documenting minutes, and following up on action items to ensure timely completion.
  • Manage office supplies, vendor relationships, and facility upkeep to maintain a well-equipped and organized work environment.
  • Operate and maintain office computer systems, independently troubleshooting basic technical issues to minimize downtime.
  • Utilize AI-driven tools to draft communications, summarize information, generate reports, and enhance administrative efficiency.
  • Lead and supervise a team of ten personnel, fostering collaboration, accountability, and high performance.
  • Maintain exceptional organizational skills to handle multiple responsibilities simultaneously without compromising on quality.
  • Communicate clearly and professionally in both English and Urdu, ensuring smooth internal and external communications.
  • Apply structured thinking and discipline acquired from prior experience, especially beneficial if coming from a military background.
  • Quickly adapt to new software and digital tools to meet evolving operational demands.
  • Ensure a commanding and composed presence that reflects professionalism at all times within the office environment.
